Cancellation & No-Show Policy

We respectfully ask that you provide at least 24 hours’ notice for any appointment cancellation or rescheduling request. When appointments are canceled without adequate notice or missed entirely, it is often impossible to fill that appointment time. This impacts both your therapist and other clients who may have been waiting for an appointment. 

Credit Card on File Requirement

All clients are required to maintain a valid credit card on file, regardless of their preferred payment method at checkout. 

Late Cancellation & No-Show Fees 

  • First offense (late cancellation with less than 24 hours’ notice, or a no-call/no-show): 50% of the scheduled service fee
  • Second and all subsequent offenses (late cancellation with less than 24 hours’ notice, or a no-call/no-show): 100% of the scheduled service fee 

Definition of a No-Call/No-Show

A no-call/no-show occurs when a client: 

  • Does not arrive for their scheduled appointment and provides no communication regarding their absence; or
  • Contacts the office so late after their scheduled start time that the appointment can no longer reasonably be provided

As a general guideline, appointments may be considered a no-call/no-show approximately 15 minutes after the scheduled start time, depending on the length of the service and therapist availability. 

To protect our therapists’ schedules and personal time, appointments may also be considered a no-call/no-show when a client’s late arrival would result in more than 30% of the scheduled session time being lost. 

Once an appointment has been designated as a no-call/no-show, the therapist may leave the premises, and the appointment will be subject to the applicable no-call/no-show fee outlined above. 

These fees will be charged to the card on file immediately.  

We understand that emergencies happen and illnesses occur unexpectedly. If you have a fever, a known infection, or have experienced vomiting or diarrhea within 24 hours prior to your appointment, we ask that you cancel your appointment as soon as possible. 

Inclement weather may also occasionally require late cancellations. We will do our best to provide advance notice if we need to close or cancel appointments due to weather conditions, and we ask that clients do the same. Late cancellations due to emergency, illness, or severe weather may be exempt from fees at management’s discretion and will be reviewed on a case-by-case basis. 

How to Cancel

We make it easy to let us know if you cannot make your appointment. You are welcome to text us anytime—day or night. The sooner we know, the better.
